Code of Conduct for Youth Programs

Behavioral Expectations:

  • • Treat all staff, volunteers, and participants with respect and kindness
  • • Use appropriate language at all times - no profanity, bullying, or harassment
  • • Follow all safety rules and instructions from staff members
  • • Keep hands, feet, and objects to yourself
  • • Participate actively and positively in all activities
  • • Take care of facility property and equipment
  • • Stay in designated areas unless given permission by staff

Consequences for Misconduct:

  • • First offense: Verbal warning and discussion
  • • Second offense: Time-out and parent/guardian notification
  • • Third offense: Suspension from program (1-3 days)
  • • Serious misconduct: Immediate removal and possible permanent suspension

Zero Tolerance Policy:

  • • Violence, threats, or physical aggression
  • • Possession of weapons, drugs, or alcohol
  • • Theft or destruction of property
  • • Sexual harassment or inappropriate behavior
Facility Rental Policies

Booking and Reservations:

  • • All events must be booked at least 14 days in advance
  • • Reservations require completed application and security deposit
  • • Priority given to community organizations and non-profits
  • • Maximum booking period is 8 hours per day
  • • Setup and cleanup time must be included in reservation

Facility Use Guidelines:

  • • No smoking, vaping, or tobacco use anywhere on premises
  • • Alcohol permitted only with special permit and insurance
  • • Music and sound levels must not disturb neighboring areas
  • • All decorations must be approved and safely installed
  • • Kitchen use requires staff supervision and additional fee
  • • Parking is limited - coordinate with staff for large events

Cleanup Requirements:

  • • All trash must be bagged and placed in designated areas
  • • Tables and chairs must be cleaned and returned to original positions
  • • Floors must be swept and mopped if necessary
  • • All personal items and decorations must be removed
  • • Failure to clean properly will result in additional cleaning fees
Payment and Refund Policies

Payment Terms:

  • • 50% deposit required to secure reservation
  • • Full payment due 7 days before event date
  • • Security deposit ranges from $100-$500 depending on event size
  • • Additional fees may apply for equipment, staffing, or cleanup
  • • Late payments may result in cancellation of reservation

Refund Policy:

  • • Cancellations 30+ days in advance: Full refund minus $25 processing fee
  • • Cancellations 14-29 days in advance: 75% refund
  • • Cancellations 7-13 days in advance: 50% refund
  • • Cancellations less than 7 days: No refund
  • • Weather-related cancellations may qualify for full refund or rescheduling

Security Deposit Return:

  • • Deposits returned within 14 business days after event
  • • Deductions made for damages, excessive cleanup, or policy violations
  • • Photo documentation provided for any deductions
  • • Disputes must be filed within 30 days of event
Confidentiality and Safety Expectations

Confidentiality:

  • • All personal information shared with staff remains confidential
  • • Medical information is shared only with authorized personnel
  • • Photos and videos require written consent before use
  • • Participants' personal information is not shared with third parties
  • • Staff and volunteers sign confidentiality agreements

Safety Protocols:

  • • All staff are trained in first aid and emergency procedures
  • • Emergency contact information must be current and accessible
  • • Medication administration requires proper documentation and training
  • • Incident reports are filed for all injuries or safety concerns
  • • Regular safety drills and equipment inspections are conducted

Mandatory Reporting:

  • • Staff are mandated reporters for suspected child abuse or neglect
  • • Threats of violence or self-harm will be reported to authorities
  • • Illegal activities will be reported to law enforcement
  • • Participants and families will be notified when legally permissible
